How to create your receipt PDF
- Choose Payment Receipt or Thermal Receipt and check the bill settings.
- Enter the receipt number and date, business details, and customer details.
- Add item names, quantities, rates, and the tax settings that match the transaction.
- Enter the payment method, date, reference, status, and amount received.
- Check the item total, payment, and balance in the preview before downloading the final PDF.
Receipt example: a partial payment
Two items at 150 each give a subtotal of 300. With tax set to zero for this example and Amount Received set to 100, the receipt shows a balance of 200. Select Partially Paid so the status agrees with the amount.
Use the actual prices and tax settings for the transaction. The example illustrates the calculation, not a tax rate.
Check Amount Received carefully
A blank or zero Amount Received is treated as full payment by this format. For a partial payment, enter a positive amount below the total. The received amount is capped at the receipt total.
Changing the payment status alone does not calculate a payment or refund. This receipt is not suitable for showing a zero-payment balance simply by entering zero in Amount Received.
Payment receipt or thermal receipt?
The payment receipt format provides a fuller layout, while the thermal receipt format offers a compact presentation. Preview the actual item descriptions in the chosen layout.
A receipt records payment. If you need to request payment for work or goods, compare the invoice generator and the invoice versus receipt guide.
Review tax and payment references
The form supports tax per item or on the total. Check the selected calculation method and the rates before downloading. The tool uses your entries; it does not choose the applicable rate.
Keep the receipt number and payment reference distinct: one identifies the receipt, the other helps find the payment. Add notes and the receiver’s name or role when useful.
Receipt Maker Online FAQ
Is it free to use?
Entering details and checking the preview are free. Downloading the final PDF uses credits. The format picker shows the cost; see pricing for credit packs.
Can I make an itemised receipt?
Yes. Add an item name, quantity, rate, and optional description for each line.
Can I choose a thermal receipt layout?
Yes. Select Thermal Receipt in the format picker and check the compact preview.
Can I record a partial payment?
Yes. Enter a positive Amount Received below the total and select Partially Paid. Check the remaining balance in the preview.
What happens if Amount Received is blank or zero?
The format treats it as full payment. It does not show a zero payment just because you entered zero.
Can I apply different tax rates to items?
Use Per item tax calculation and enter the appropriate rate for each item. Review the resulting tax summary.
Does selecting Refunded process a refund?
No. It only records a status. No money is moved, and the received amount is not automatically changed by selecting it.
Can I add a logo and payment reference?
Yes. Add the business logo and use Reference No. for the payment reference, then review the preview.
