Create an invoice online and download it as a PDF
Use this invoice generator to make a clear invoice PDF for a customer, client, or business record. Add your business name, customer details, invoice number, invoice date, due date, items, tax, payment status, notes, terms, and signature details.
You can upload your logo, choose an invoice format, select region, currency, and page size, then check the live preview before downloading the PDF. It works for service invoices, tax invoices, freelance invoices, contractor invoices, small business invoices, and simple product or service bills.
Use real details from the work, order, or sale. Before you share the invoice, check the customer name, invoice number, tax details, item list, total amount, due date, paid amount, and balance due.
What you can add
- Business details: logo, business name, address, phone, email, and tax ID.
- Customer details: customer name, billing address, email, tax ID, and attention line.
- Invoice details: invoice number, invoice date, due date, currency, region, and page size.
- Items and services: item name, description, HSN/SAC or item code, quantity, rate, and tax.
- Payment details: unpaid, fully paid, or partially paid status, payment mode, bank details, UPI, cheque, ACH, wire, or other instructions.
- Extra notes: invoice notes, payment terms, signer name, and signer title.
What should an invoice include?
A useful invoice should answer five simple questions: who is sending it, who needs to pay, what was sold, how much is due, and when payment should be made.
Start with your business details and the customer details. Add a unique invoice number, invoice date, and due date. Then add each product or service as a separate row with quantity, rate, and description. If tax is needed, add the tax details clearly so the customer can see how the final amount was calculated.
Keep the item names short and clear. Use the notes or terms section for payment instructions, delivery notes, late fee terms, or any small message your customer should read before paying.

- Set the document region and currency.
- Add your logo and business details.
- Enter the invoice number, invoice date, due date, and customer details.
- Add each item or service with quantity, rate, description, and tax if needed.

Pick the invoice format that fits the work
Not every invoice needs the same layout. A tax invoice needs space for tax ID, item tax, and total tax. A service invoice needs clean rows for work done, hours, rates, or fixed service charges. A contractor invoice may need labour, material, site work, and project notes. A small business invoice may need a simple layout with customer details, payment terms, and bank details.
BillQuest gives you invoice formats for these common cases. Add the details once, then choose the format that looks right for the customer and the type of bill you are making.
Good for common invoice needs
- Freelancers: make invoices for writing, design, development, editing, consulting, or other client work.
- Service businesses: bill for repairs, maintenance, agency work, support, cleaning, installation, or professional services.
- Contractors: list labour, material, site work, project items, rate, quantity, and tax.
- Small businesses: create simple customer invoices with logo, item rows, payment terms, and bank details.
- Tax invoices: add business tax ID, customer tax ID, HSN/SAC, GST or sales tax, and total tax where needed.
Tax and payment details
Start by choosing the invoice rules that match the issuing business. A GST-registered business in India can add GSTIN, HSN or SAC, place of supply, reverse charge, and either IGST or CGST and SGST. An Indian business that is not GST registered can create an invoice without GST fields or tax calculations.
For the United States, enter the sales-tax rate and the state or local area used for that rate. BillQuest does not choose the rate because the rules differ by state and locality. For a UK VAT invoice, add the VAT number, supply date, VAT rate, and VAT amount. Check the real registration and current tax rule before issuing any tax invoice.
The payment section shows what is still due. Mark the invoice as unpaid, fully paid, or partially paid, then add payment instructions if needed.
Why use an invoice generator instead of Word or Excel?
Word and Excel can work for a quick invoice, but they are easy to break. You may copy an old file, forget to change the invoice number, miss a tax line, or send a file that does not look right on another device.
An invoice generator keeps the main parts of the invoice in one form. You add the details, the totals update, and the preview shows how the PDF will look. This saves time and reduces small mistakes, especially when you make invoices often.
How to send the invoice
After downloading the invoice PDF, send it to your customer by email, WhatsApp, message, or your normal business channel. Keep a copy for your own records. If the invoice is unpaid, follow up near the due date and mention the invoice number so the customer can find it quickly.
If the invoice is for an office claim, GST record, or accounting file, save the PDF with a clear file name such as the invoice number, customer name, and invoice date.
